Duties of the Executive Committee
- President
- Organize, plan and lead to ensure
the perpetuation and overall success of the chapter
- Work with the Executives and Chapter Advisors to plan
a calendar of activities
- Plan regular meetings and prepare agendas; delegate
responsibilities as necessary
- Plan 1 General Meeting per month for all members
- Coordinate and execute New Member Recognition Ceremony and Reception
- Meet with Execs and Chapter Advisors to choose new
Honorary Members
- Ensure that the chapter fulfills all chapter standards
and maintains Gold Standing
- Complete online Chapter reporting by December 1st
and June 1st
- Oversee Vice Presidents
- Plan and coordinate Honourary Member Wine & Cheese
event in 2nd semester
- Send Advisor and Officer Profile Forms when new officers are elected
- Vice Presidents
- Fulfill presidential
duties in the absence of the President
- Assist president
in the completion of duties as needed
- Coordinate and follow up other Directors to conduct ongoing Campus Awareness campaigns particularly the annual membership drive
- Assist the President in coordinating
activities to help the chapter fulfill all chapter standards
- Work with President to maintain
contact with chapter Honorary Members
- Assist President with Honourary
Member Wine & Cheese
- Complete status report once each semester
- Work with President to seek out and apply for funding for International Conference
- Assist the President in organizing the General Meetings
- Marketing Director
- Coordinate all publicity for chapter activities and events as needed. Place ads and public service announcements in local media, write and submit press releases for important chapter activities
- Search for possible sponsorship at the local, national, and international levels
- Investigate sources of local funding and coordinate activities
- Assist other Executive Members in publicizing and marketing their events
- Maintain contact and plan conference meetings with media representatives at GK headquarters
Treasurer
- Manage all financial transactions
of the chapter with guidance from the Chapter Advisor
- Receive and distribute chapter funds
- Work with the President and Advisor to prepare a budget
once all new inductee fees have been received
- Balance the chapter account and prepare quarterly Budget
Reports for Headquarters: Deadline - December 1st and June 1st
- Create a Reimbursement Form
- Manage float for events
- Keep an updated bank account
- Transition acceding Treasurer
- Media Director
- Recruit and oversee Media Team
- Update and maintain the local Golden

- Manage Facebook group and update events as they come
- Produce presentation for Member Recognition Ceremony / year-end event
- Update pictures on Facebook and chapter website
- Create monthly e-newsletter to be mailed to AD, chapter and partners
- Communications Director
- Take accurate minutes at executive
meetings and distribute minutes within 2 days of the
meeting to executive team, advisors and AD
- Work with executive team to compose and send any chapter correspondence out to the community
- Design and produce program for Member Recognition Ceremony
- Proofread all documents to be released
- Coordinate invitations and RSVP list for Member Recognition
Ceremony
- Regularly review the GK website for upcoming scholarships and forward a brief summary about them to the Media Director for posting on the UBC chapter website and in the monthly e-newsletters
- Director of Professional Development
- Recruit and manage Professional Development Team
- Organize graduate and professional school workshops and panel events
- Organize scholarship info sessions, resume and stress relief workshops
- Organize events related to the career aspects of Golden Key such as workshops and panels dealing with graduation, job hunting, networking and skills development
- Plan at least 1 academic event per term
- Organize weekly study sessions. This may include booking rooms or picking a location in a library
- Organize an exam bank
- Send out invitations and coordinate the Honorary Wine and Cheese Event to recognize selected professors
- Tri-Mentoring Director
- Oversee the tri-mentoring program
- Recruit and match mentors and mentees
- Organize a kick off and wrap up dinner
- Organize at least 1 tri-mentoring
event per semester
- Maintain correspondence with alumni and Honorary Members and invite them to key events
- Social Director
- Recruit committee members from chapter
- Plan and coordinate a running bi-weekly social event and one additional social activity per month throughout the year
- Work with Service Director to organize the first annual Literacy/ Advocacy Gala in the second semester. Proceeds from the ticket sales will go towards supporting a selected organization. Aim to raise $1,500 within the term of office
- Organize social aspect of year-end event
- Keep an up-to-date record of who and how many people attend each event
- Service Director
- Coordinate the service committee
and call committee meetings as necessary
- Network and partner with other student
organizations for programs and activities
- Coordinate book drive, with books to be collected during buy back
- Maintain ongoing partnership with Big Brothers, Big Sisters Study Buddy Program
- Work with the Social and Fundraising Director to organize first annual Literacy/ Advocacy Gala in the second term
- Keep an up-to-date record of who and how many people attend each event
- General Officer
- Keep track of AMP (Active Member Participation Program), which allows members to win $250 each year for their involvement with UBC Golden Key.
- Assist President with administrative tasks.
- Proof-read letters, e-newsletters, etc.
- Gala Director
- Organize UBC Golden Key Recognition Gala to be held in second term.
- Tasks include: finding a venue, organizing tickets, securing keynote speakers, etc.
- Talent Show Director
- Organize a Golden Key Talent Show for second term.
- Send out recruitment information.
- Host auditions.
- Sports Director
- Organize and register UBC Golden Key teams to participate in UBC Rec events.
- Keep members updated about exciting sporting events on campus.
